Job Title: Temporary Part-Time Administrative Assistant
Brief Job Description: Answer administration office phone, process mail and invoices for prompt payment, and prepare and distribute Inter-Library Loan materials. Temporary, part-time position begins by August 1st and lasts approximately 10-12 weeks. Duty hours are generally Monday, Tuesday, Thursday, and Friday from 9:00 a.m. – 3:30 p.m., but some flexibility is available up to 24 hours per week.
Specific Duties and Responsibilities:
Assist Director with any requested administrative duties
Receive and distribute daily mail
Maintain current vendor files, to include billing and accounting information
Receive and audit invoices; follow invoice processing procedure to ensure timely payment
Attend board meetings and assist with record-keeping
Process all courier and Inter-Library Loan materials
Other duties as assigned
Qualifications, Skills, and Requirements:
Must have prior experience using QuickBooks for billing and payroll functions.
Must have administrative experience.
Must have prior experience using Google for e-mail, file sharing, and file management.
Must have prior experience using all Microsoft Office applications.
Must be able to work independently.
Must possess strong organizational and communication skills.
Must speak and write effectively and deal pleasantly with patrons, vendors, staff, and library administration.
Must demonstrate creativity, flexibility, and a positive attitude.
Must exhibit good judgement and establish effective working relationships with library colleagues, local government, and vendors.
Physical Requirements: Lift 30 pounds of books or other materials to place on counters or carts. Bending, reaching, lifting, and carrying boxes and bags of books will be required. Also, must be able to tolerate office cat.
Supervision: Works closely with the Director.
